Operations & Automation · AI agents & custom workflows
AI that does the work, not just the talking.
Agents built around your process and connected to your own tools, qualifying enquiries, drafting replies, updating records and running multi-step jobs from start to finish, with a person in the loop wherever judgment is needed.
An AI agent is software that reads, decides and acts inside your real processes, like answering enquiries at midnight, with your team approving what goes out.
In short
What does Spark Ink's AI agents service do?
Spark Ink builds AI agents and custom workflows for businesses in Uganda, the US, the UK and Canada. An agent reads every enquiry the moment it arrives, day or night, classifies it, drafts the reply and queues it for your team’s approval. Agents also handle sorting, summarising and data entry inside the tools you already use. Measured on outcomes, not on demos.
What this actually is
Most businesses have tried AI by now, and most were disappointed for the same reason. A general chatbot knows everything except your prices, your policies and your customers, so it produces confident answers that your team then has to check and rewrite. That is not help, it is extra work.
Spark Ink builds the other kind. An agent that is grounded in your own documents, connected to the systems you already run on, and given clear rules about what it may do alone. It handles the repetitive work end to end, logs everything it did, and stops to ask a person the moment a case falls outside its remit.
In plain English
AI agent
Software that reads, decides and acts on a task, like drafting a reply, instead of just chatting.
Workflow
The series of steps a task moves through. Agents are built into yours, not bolted on.
Human approval
Nothing an agent writes goes out until a person on your team says so, until you choose otherwise.
The system
What you get
Agents built around your process, connected to your own tools, doing work you can check.
An agent that answers questions
Trained on your prices, policies and past work, so enquiries get an accurate answer in seconds instead of waiting for whoever knows.
Qualifying and routing
Every enquiry read, scored against your criteria and sent to the right person, with a short summary so nobody starts from scratch.
Documents handled for you
Quotes drafted, invoices raised, notes summarised, forms filled and records updated, using the details already in your systems.
Multi-step workflows
Processes that run from start to finish across several tools, with the agent deciding the next step rather than following a rigid script.
Rules it cannot break
Clear limits on what it can say, promise, spend and change, plus the cases where it must stop and ask a person first.
A record of every action
You can see what the agent did, why it did it and what it sent, so trust is based on evidence rather than hope.
Inside an agent
What an agent is actually made of
Four parts, and none of them are magic. Something starts it, it reads your own information, it decides using tools it is allowed to touch, and it either finishes the job or hands it to a person. Below the diagram: one 11pm enquiry handled end to end, exactly as the log records it. The names and details are an example.
Why it works
Most of the working week is not skilled work
The expensive part of a salary is rarely spent on the job you hired for. It goes on reading messages, hunting for information, retyping details into another system and chasing people for updates. That work is necessary, but almost none of it needs a human brain.
This is exactly the shape of work agents are good at: repetitive, rule-based and text-heavy, with a clear right answer that exists somewhere in your own documents. Hand it over and the same team suddenly has capacity nobody had to hire.
The safety comes from the boundaries, not from hoping. A well-built agent works only from your approved material, has a written list of things it may never decide, and leaves a record of every action so a person can check the work at any time.
of the working week goes on email, searching for information and coordination between colleagues
a week, per person, roughly, on routine work that has a right answer. That is the share an agent can take over
Source: McKinsey Global Institute, The social economy, which found knowledge workers spend around 60% of the week on email, searching for information and internal coordination rather than the skilled work they were hired for.

The workflows we build most often
Every build is shaped around your process, but these three cover most of what businesses hand over first. Each one runs on its own and stops at the point a person is genuinely needed.
Runs 24 / 7
Enquiry to booked job

Website form, WhatsApp, email or a missed call.
Qualified against your criteria
Job type, location, budget, timing.

Real numbers and ranges, never invented.
Booked and logged
Slot taken, deal created, owner notified.
What it removes: The evening scramble to reply before a competitor does.
Runs daily
Quote to paid invoice
A quote is accepted
The deal moves stage in your CRM.
Invoice drafted and filed
Correct figures, terms and reference, saved to your drive.
Chased on your schedule
Polite reminders on day 7 and day 14, in your wording.
Anything unpaid at 30 days
Escalated to you, with the full history attached.
What it removes: The awkward job nobody wants: asking to be paid, again.
Every message
Inbox triage
A message lands
Shared inbox, form or social message.
Sorted into the right pile
New sale, existing client, supplier, or noise.
History pulled and summarised
Past orders, open tickets, last conversation.
Reply drafted, work routed
Sent or held for approval, your choice per type.
What it removes: The first hour of every morning, spent reading and forwarding.
The difference
The same job, with and without an agent
A customer asks for a quote on a Friday evening. The work involved is identical. What changes is how much of it a person has to carry, and how long the customer waits. The timings are an example, not a promise.
You stay in charge
You decide how much it does on its own
You set this per job, not per agent. Most clients start every job at level one, then move single jobs up as the work proves itself. Any job can be moved back down in a minute.
LEVEL ONE
It drafts, you send
Nothing goes out until a person on your team approves it. Useful from week one, with no risk at all.
LEVEL TWO
It acts on the routine, asks on the rest
Standard cases go out on their own. Anything unusual, sensitive or expensive comes to a person with a recommendation attached.
LEVEL THREE
It runs the job inside your limits
Full handover for work that has proved itself. Written rules cap what it can spend, promise and change, and every action is logged for review.
An honest comparison
Chatbot, automation, or agent
These three get talked about as if they are the same thing. They are not, and picking the wrong one is why so many businesses conclude that AI does not work for them.

Yours to keep
Built on tools you can keep
Everything is built in accounts you own, using platforms with real support behind them. Nothing is locked away where only we can reach it.
If you part ways with us, the agents, the rules and the logs stay yours, and any competent developer can take them over.

The build
How it works
From one repetitive job to an agent your team actually trusts, in five steps.
We pick one job worth handing over
We look for work that is frequent, rule-based and currently eating hours. Starting narrow is what makes the first agent succeed.
We give it your knowledge
Your prices, policies, past answers and documents become a private knowledge base, so replies come from your business and not the internet.
We set the rules and the limits
We agree what it may decide alone, what needs approval, and what it must never touch. Those limits are written into the build.
We run it beside a person first
For the first weeks it drafts and a human sends. Once the work is consistently right, we let it act on its own where you are comfortable.
We widen what it handles
With one job proven, the same foundation takes on the next. Most clients add two or three more over the following months.
Which task would you hand off first?

The difference
What makes this different from a chatbot
A chatbot waits on your website and answers questions it was fed. Useful, but it does no work: nothing gets sorted, drafted, logged or followed up.
An agent works inside your actual processes: it reads the enquiry, checks the calendar, drafts the reply, updates the record, and hands it to a human for the final word. The measure is not how clever the conversation feels. It is how many hours of real work disappear.
Who this is for
Is this you?
Teams answering the same questions daily
If most of your inbox is the same twenty questions, an agent trained on your answers clears it and keeps the tone consistent.
Businesses buried in data entry
Reading documents, copying details between systems and updating records is exactly the work an agent does faster and without drifting off.
Anyone losing enquiries after hours
Most enquiries arrive when nobody is at a desk. An agent gives a proper answer at midnight and hands you a warm conversation in the morning.
Teams growing without hiring
When volume doubles but headcount cannot, agents absorb the routine share so your people stay on the work that needs judgment.
Frequently asked
Fair questions, straight answers
How is this different from using ChatGPT ourselves?
A general chat tool answers questions in a window and forgets your business. An agent is connected to your data and your systems, follows rules you set, and completes the task rather than describing it.
Will it make things up?
It is built to answer only from your own documents and to say it does not know rather than guess. Anything outside its rules is passed to a person, and every action is logged so you can check it.
Is our data safe?
Everything runs in accounts you own, using business-grade services with your data kept out of public model training. We agree exactly which systems it can see before anything is built.
Will it replace our staff?
That is not usually why clients do it. It removes the routine share of the work so the people you already employ can handle more customers and spend time where judgment actually matters.
How long does it take to build?
A first agent doing one clear job is usually live in three to five weeks, including a supervised period where it drafts and your team approves before it acts alone.
What if it gets something wrong?
You see it, because everything is logged. We fix the rule or the source document, and where the risk is high the agent is kept in draft mode so a person always approves before anything is sent.
Do customers know they are talking to an agent?
Yes, when it is customer facing. Pretending otherwise damages trust the moment someone works it out, and in several markets it is also a legal requirement.
What does it cost to run?
There is the build, then a small monthly cost for the model usage and the platform it runs on. Usage is metered, so we set limits and show you the running cost before anything goes live.
Do we need clean data before we start?
Not perfect data, but the agent can only be as accurate as the documents you give it. Part of the build is gathering the current prices, policies and answers into one reliable source.
